If a student is unenrolled from your school or from a specific section before the end of a grading term, it can look like she "lost" grades that she previously had.
This is because a student must be enrolled in a course through the end of a grading period to get a final grade for that grading period. In other words, if a student leaves Science before Quarter 2 ends, she will not get a final grade in Science for Quarter 2, even if she did some work in that course for that quarter.
In this same example, the student would still have her Quarter 1 grade in Science (assuming that she was enrolled in Science for Quarter 1) and would "lose" her Quarter 2 grade only because she didn't complete the second quarter.
Although students will not receive a final course grade for grading terms they don't complete, their work is not lost! Here are some ways to view and retrieve "lost" grades.
These methods let you see "lost" grades in both the current school year and in archived sites for previous school years.
The Progress Reports Page
Use the Progress Reports page to see both assessment results and course grades for students. You can view grades and scores for students who only partially completed a grading term (i.e. have "lost" grades) with the "Use Assessment Results" button.
The Analysis Page
Use the "Course Grades" dataset to search for grades for the inactive/unenrolled student. Use the "Enrollments & Demographics" tab to select just the student in question, so you don't have to sift through data for other kids.
When you get results back, you can use the pivot table to organize and then export them, or you can use the "Raw Data" tab to export everything (if you want to keep a complete record somewhere other than Schoolrunner).
If you don't see any course grades for your student when you click the "Load Data" button, it's either because there is no data to show or the data is inactive. Try setting the "Active" toggle in the "Result Filters" tab to "All". This will show you course grades that have been deactivated (likely due to the student being deactivated prior to the completion of a grading term).
If you load inactive course grades, click into the "Raw Data" tab and pay attention to the "Date" column. The latest date represents the last course grade a student had.
The "Full Grades" Export
If you'd rather skip the Analysis page and just get a spreadsheet of course grades, visit the Export page via the "Setup" menu at the top of your screen. Click on the "Full Grades" export. The .csv file that will download includes active and inactive course grades for active and inactive students. In other words, this includes everything!
Filter or search the spreadsheet for the student(s) you're interested in.
The Report Cards Page
Once students are deactivated (i.e. unenrolled from your school), Schoolrunner can no longer generate report cards for them. If you know a student will be unenrolling imminently, we recommend that you generate a report card for her first. This report card will include the most comprehensive course grades that exist in Schoolrunner, and can be saved for future need.
If you "publish" report cards, they remain accessible on student pages even after a student leaves your school. Learn more here.
When the student unenrollment is complete, the other options above will allow you to access her grades. Alternatively, you can also re-enroll the student (both in your school and in his/her sections) to re-enable normal use of the Schoolrunner Report Cards page.
